Your details, treated with care.

The Bee Hive SMP community project operates this Season 5 waitlist. Contact us at privacy@thebeehivesmp.fun for privacy questions, access, correction, deletion, or withdrawal of consent.

Public signup is available only when the waitlist form is accepting registrations. Preview mode does not send email; private email staging sends only to the approved test inbox. Test records are excluded from the public audience. An email signup alone does not grant an in-game reward. First Swarm eligibility and later ownership checks follow the published First Swarm terms.

What we collect and why

With your consent, we store your email address, self-reported original Minecraft username/Xbox gamertag, selected account type (Java, Cracked Java, or Bedrock), proposed corrections awaiting confirmation, signup and confirmation times, consent version, subscription status, unsubscribe time, and campaign labels from a signup link. We use your email for major Season 5 updates, launch news, and possible closed-test invitations. We save one intended Minecraft identity per email for later account validation. Names are not reserved or treated as proof of ownership. Email verification confirms control of the inbox only; in-game ownership remains unverified until a separate authenticated game flow. We do not derive a UUID or XUID from your typed name. Joining does not guarantee testing access. You can read website news without subscribing.

We do not request a Minecraft password or payment details for the waitlist. We do not sell the email list or use this consent for unrelated marketing.

How long we keep it

Cleanup may remove data earlier than these maximum periods. Limited information may be kept longer for a specific legal obligation or documented dispute, with restricted access and review.

First Swarm reward records

Eligible public confirmations create a separate reward record containing a keyed, non-public email hash, eligibility time, and terms version. It contains no raw email, typed Minecraft name, or guessed game identity. This is pseudonymous personal data, not anonymous data. We use it to check eligibility when you later prove control of your inbox and in-game account. Marketing unsubscribe or mailing-list expiry does not remove earned eligibility. We keep this record through Season 5 and remove it within 30 days after the season ends. The exact season-end date will be announced when set. You can separately request deletion of this record; deletion can prevent claim validation or recovery. Any later collection of authenticated game identifiers or grant records will be explained before the in-game claim flow opens.

Confirmation and your choices

Our registration confirmation and unsubscribe pages ask you to confirm the action. Kit newsletters also include Kit’s unsubscribe link and mailbox one-click unsubscribe support. You can unsubscribe at any time. A fresh signup requires consent and email confirmation again. To correct your account type or name, submit the form again. A new email and confirmation page show the proposed details; existing confirmed details stay unchanged until you approve. A correction does not restart the marketing retention period. Superseded confirmation links cannot apply older details. Unapproved correction details are cleared when their link expires. If a name or email needs support, contact us from the registered inbox; no public name alone authorizes a change. Old audience exports must not be reused. Kit stops its own newsletter delivery immediately after a withdrawal, bounce or complaint. The website checks Kit subscription status during subscription activity and operator maintenance; its local status may lag until the next check. Temporary provider outages can delay synchronization; queued changes are retried by subscription activity or operator maintenance. A previous Kit suppression is never overridden automatically. Contact us if a new confirmed signup needs help rejoining newsletters.

For privacy requests, contact us from the address involved. We use proportionate verification and will not ask for a Minecraft password. We aim to acknowledge requests within 7 days and resolve them within 30 days, or explain a lawful extension. These are our service targets. You may also raise a concern with the Philippine National Privacy Commission.

Hosting, email, and security

Cloudflare D1 stores application records, private Cloudflare R2 storage holds encrypted recovery checkpoints, Resend processes registration confirmations and incoming email, Kit processes newsletter subscriptions and sends development updates, and Sites provides website hosting and private-staging authentication. Only confirmed public subscriptions are added to Kit. We share the email address and subscription status; we do not send Minecraft names or account types to Kit. Newsletter links, delivery, opens and clicks may be recorded by Kit and mailbox providers. Messages to our privacy address and replies to our updates address are monitored through Resend’s Receiving dashboard. Data may be processed outside your country. Kit may keep a minimal suppression record to honor a withdrawal or prevent further delivery to bounced or complaining addresses. Our synchronization queue retains provider identifiers and retry status, with no second copy of the email or Minecraft name. Completed queue records for removed signups are cleared after 30 days through operator maintenance. These services may retain security logs and recovery copies under their own policies; application cleanup does not erase provider-controlled records immediately.

Signup protection uses salted hashes, a honeypot, per-connection and per-address limits, and bounded email delivery. The signup database does not store raw connection addresses. There are no third-party advertising or analytics scripts in the signup application.
